# SAP MEDIA – General Policies & Client Disclosure
By booking with SAP MEDIA, all clients acknowledge and agree to the following policies and terms. These policies are in place to ensure a professional, organized, and luxury experience for every client.

# Booking & Retainers
A non-refundable retainer is required to secure all session dates and times.
Bookings are not confirmed until the retainer has been received.
Retainers will be applied toward the remaining balance of the session or service.
Remaining balances must be paid in full before or on the day of the scheduled session unless otherwise agreed upon in writing.

# Rescheduling Policy
Clients may reschedule their session with at least 72 hours notice.
Rescheduling requests made less than 72 hours before the scheduled session may require an additional retainer or rescheduling fee.
SAP MEDIA reserves the right to reschedule sessions due to emergencies, severe weather conditions, illness, or unforeseen circumstances.

# Cancellation Policy
All retainers and deposits are non-refundable.
If a client chooses to cancel their session, payments made prior to cancellation will not be refunded.
No-call/no-show appointments will result in immediate cancellation of the booking without refund.

# Late Policy
Clients are expected to arrive on time for all sessions.
A grace period of 15 minutes may be allowed depending on scheduling availability.
Late arrivals may result in reduced shooting time to avoid impacting other scheduled sessions.
Excessive lateness may require the session to be rescheduled at SAP MEDIA’s discretion.

# Image & Content Delivery
Turnaround times vary depending on the type of session and project scope.
Estimated delivery times:
* Portrait Sessions: 7–14 business days
* Branding Sessions: 7–21 business days
* Weddings & Events: 4–8 weeks
Rush delivery options may be available for an additional fee.
All final edited images and media content will be delivered digitally unless otherwise stated.
RAW/unedited files are not included and will not be delivered.

# Creative Direction & Editing
By booking SAP MEDIA, clients acknowledge and trust the creative direction, shooting style, and editing style of the brand.
Final edits and image selections are completed at the discretion of SAP MEDIA unless otherwise agreed upon.
Extensive additional edits or revisions beyond the original agreement may result in additional fees.

# Studio & Location Responsibility
Clients are responsible for any required permits, parking fees, location fees, or permissions unless otherwise discussed.
Clients are also responsible for the conduct of any guests attending the session.
Any damages caused to studio spaces, rental locations, or equipment by the client or guests may result in additional charges.

# Usage & Copyright
SAP MEDIA retains the copyright and creative ownership of all images and media content created.
Clients are granted personal or business usage rights depending on the selected service agreement.
Images and content may not be altered, heavily filtered, sold, or redistributed without written permission.
SAP MEDIA reserves the right to use content created for portfolio, website, social media, promotional, and marketing purposes unless otherwise requested in writing prior to the session.

# Weddings & Events
For weddings and large events, timelines and shot lists should be communicated in advance to ensure proper coverage.
While every effort is made to capture all important moments, SAP MEDIA cannot guarantee specific shots due to lighting conditions, venue restrictions, timing delays, guest interference, or unforeseen circumstances.

# Liability
SAP MEDIA is not responsible for:
* weather conditions,
* missed moments caused by delays,
* venue restrictions,
* guest interference,
* lost personal items,
* or circumstances beyond reasonable control.
In the unlikely event of equipment failure, emergency, or unforeseen circumstances, liability is limited to the amount paid by the client.

# Agreement
By booking a session or service with SAP MEDIA, the client acknowledges they have read, understood, and agreed to these policies and terms.
